Privacy Policy

BestPair is a product of Datamize, Inc. ("BestPair", "we", "us" or "our"). This policy explains what information we collect when you visit bestpair.ai (the "Site") or open a personal link we have sent you, what we use it for, and the choices you have. We write it for business visitors in the United States and Canada, and we have tried to say things plainly.

1. The short version

  • The Site uses Google Analytics to understand how visitors use it. It only runs if you click Accept on the cookie banner.
  • If we send you a personal link to our Hub, in an email or with a call invitation, we can record which Hub pages you open, how long you spend on them, how far you scroll, how much of each video you watch, whether you come back, and whether the link is opened on a different device. We use this to understand what interested you and to decide whether and how to follow up with you. We keep a short summary of this (the topics you read, when, how much of each video you watched, and which of our messages your link came from) in our customer records system, which is run by a service provider based in the United States.
  • The personal link contains a random code. It does not contain your name or email address, and the Site does not store either. Only BestPair's own internal systems connect the code to you.
  • We do not sell your personal information and we do not use it for advertising.
  • You can ask us to stop tracking a link and delete what it recorded. Email [email protected].

2. Information we collect

Information you give us

If you contact us, book a call or reply to one of our emails, we receive what you choose to tell us, such as your name, business email address, company, role and the content of your messages. We hold this in our own business systems.

Business contact details (name, work email, company, role) that we obtain from public sources or business directories, which we use to contact you about BestPair. Tell us and we will stop and delete them.

Information collected automatically by analytics tools

If you accept analytics on the cookie banner, Google Analytics collects usage data such as the pages you view, your approximate location (city or region level), referring website, browser and device type, and how you interact with the page. See section 3.

Information collected through a personal link

Information our hosting provider processes

To deliver the Site, our network and hosting providers (including Cloudflare) process technical information such as your IP address and request details. For a personal link this includes the link address. This happens for every visitor as part of serving the page. BestPair's own event collector, described in section 4, does not store IP addresses. The Site also loads fonts from Google Fonts, so your browser contacts Google when a page loads. The Hub's videos are delivered by Cloudflare Stream (Cloudflare, Inc.). When a video loads or plays, your browser connects directly to Cloudflare, which processes your IP address and request details to deliver it. The page sends Cloudflare no Referer and nothing that identifies you to us, including your personal code. The video player does not store anything on your device.

3. Cookies and analytics

The first time you visit, a banner asks whether you accept analytics cookies. This choice controls Google Analytics and, separately, the Hub tracking described in section 4. Your choice is saved in your browser (local storage key bp_cookie_consent). Analytics only runs if you choose Accept. If you choose Decline, no analytics tool is loaded. You can change your mind at any time using the link below.

Google Analytics

We use Google Analytics, delivered through Google Tag Manager, to measure traffic and understand which pages are useful. Google Analytics sets cookies in your browser (typically named _ga and _ga_ followed by a property identifier) and sends usage data to Google, which acts as our service provider. We do not use Google Analytics for advertising, and we do not enable advertising or remarketing features. We configure Google Analytics to keep event-level data for no longer than 14 months. Google's own privacy practices are described at policies.google.com/privacy. You can also opt out with Google's browser add-on at tools.google.com/dlpage/gaoptout.

We do not run advertising trackers on the Site. Where your browser sends a Global Privacy Control signal, we treat it as a Decline.

4. Personal links to our Hub

The BestPair Hub at bestpair.ai/hub is a set of short pages on how BestPair works. When we email you or invite you to a call, we may include a personal link to the Hub so you can read at your own pace.

How the link works

Each personal link contains a random code (for example, bestpair.ai/r/ followed by a string of random characters). The code is not derived from your name, email address or any other detail about you. Your name and email address are not in the link and are not stored by the Site. BestPair links the code to you only inside its own internal systems, which are separate from this website and are not accessible from it. While you have the Hub open, your browser keeps the code in session storage for that tab so links inside the Hub keep working. It is cleared when you close the tab.

What we record when the link is opened

  • which Hub pages are viewed, and when;
  • time spent on each page;
  • how far down the page you scroll (recorded at 25%, 50%, 75% and 100%);
  • for videos on the Hub, whether you played a video, how much of it you watched (25%, 50%, 75% and finished), how many seconds you actually watched, whether you turned captions on, and whether you replayed it;
  • whether the link is opened again later (return visits);
  • whether the same link is opened on a different device from the one it was first opened on. We mark this as "possibly forwarded". It is a signal, not a conclusion, because people often open a link on a phone and again on a laptop; and
  • a coarse marker of the type of browser and device, used only to tell devices apart.

We do not record your IP address, your name, your email address, your precise location, anything you type, or screen recordings through this tracking. We do not count automated visits by email security scanners as reading activity.

Each link we send carries a short label that tells us which of our messages it came from (for example, a follow-up email or a post). If you open the Hub without a personal link, we note only a general category for where you came from (such as LinkedIn, a search engine, an email or directly), together with the page and the hour. We do not record your IP address or the full address of the page you came from, and we do not connect these visits to you or to each other.

What we use it for

We use this information to prepare for a call with you and to decide how to follow up. For example, we can see which topics you found relevant so the call can focus on them. We combine the signals into an internal interest score on our record of the conversation, which we use to prioritise our own follow-up, and we note in our own mailbox whether you replied to the email that carried your link.

We do not use it for advertising, we do not sell it or share it for cross-context behavioural advertising, and we do not use it to make automated decisions about you.

Who sees it

BestPair team members who prepare for the call, and the service providers that host the collector. Google Analytics is not loaded on Hub pages, and the code is not sent to Google.

Your choice

Unless we have a sign that you are in Canada or in another country outside the United States (for example a .ca email address, a Canadian phone number or address, or a country recorded on your contact details), recording starts when you first open your personal link. You can stop it at any time with the Decline button on the Hub notice, by turning on Global Privacy Control in your browser, or by using Remove my link, which also deletes what we hold. If we have a sign that you are in Canada or elsewhere outside the United States, and we sent you a personal link without having spoken with you, nothing is recorded until you click Accept on the Hub notice.

How to have it removed

Email [email protected] with the subject "Remove my link", and include the link you received or the email address it was sent to. We will switch the link off so it stops recording, delete the events recorded against it, delete the summary on our record of the conversation, and delete the record connecting the code to you. We will do this within 30 days and usually much sooner. You do not need to give a reason.

How long we keep it

We keep the page-by-page activity for a link for up to 12 months after the last recorded activity on it, and then delete it. We also keep a short summary on our internal record of the conversation with you (which topics were read, an interest score, and dates). We keep that summary, and the record connecting the code to you, for as long as we have a business relationship or active conversation with you, and delete them when you ask or when we no longer need them.

If you have never replied or booked a call, we delete the record connecting the link to you, and any summary, including the copy in our customer records system, 12 months after your last activity on the link, or 12 months after we sent it if it was never opened. If you have replied or booked a call, we keep the summary while we are in contact with you and delete it when you ask.

5. How we use information

  • To respond to your enquiries, book and prepare for calls, and provide our services.
  • To understand how the Site is used and improve it.
  • To keep the Site secure and prevent abuse.
  • To send you information about BestPair where you have consented or where the law allows (see section 9).
  • To meet legal obligations.

This Site does not collect personal data about our customers' end-customers or agents. If a customer shares such data with us under a commercial agreement, that agreement governs it, not this policy.

6. Sharing of information

We do not sell your personal information. We share information only with service providers that help us run the Site and our business (hosting and network providers such as Cloudflare, Google for Google Analytics, and our email and scheduling tools). They may use it only to provide their service to us. We may also disclose information where required by law or to protect our rights.

7. Where information is processed

Our providers operate in several countries, including the United States. Your information may be processed and stored outside your own state, province or country, and may be accessible to courts and authorities in those places under their laws.

8. Your rights

United States (including California and other states with privacy laws)

Depending on where you live, you may have the right to know what personal information we hold about you, to receive a copy, to correct it, to delete it, and to opt out of the sale or sharing of personal information. In the last 12 months we have collected the following categories: identifiers (a random link code, and contact details you give us), internet activity (pages viewed, time on page, scroll depth, return visits), device information, and business contact and professional information. We have not sold personal information or shared it for cross-context behavioural advertising. We do not knowingly collect sensitive personal information. We will not treat you differently for exercising your rights.

Canada (PIPEDA)

We collect, use and disclose personal information for the purposes described above, with your consent (which you may withdraw at any time, subject to legal and contractual limits). You may ask for access to the personal information we hold about you and ask us to correct it. Kevin Daly is responsible for our privacy compliance. If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca.

How to exercise your rights

Email [email protected]. We may ask you for enough information to confirm who you are before acting on a request. We will respond within 30 days, or tell you why we need longer. You may also use an authorised agent.

9. Email

We send commercial email only where we have your consent, express or implied under Canada's Anti-Spam Legislation (CASL) or as otherwise permitted by law (including the CAN-SPAM Act in the United States). Every such email identifies us, gives our contact details and lets you unsubscribe. To stop receiving email from us, reply and say so or email [email protected].

10. Security

We use reasonable technical and organisational measures to protect the information we hold, including keeping the link code separate from any information that identifies you. No system is completely secure, and we cannot guarantee absolute security.

11. Children

The Site is for business use and is not directed at children. We do not knowingly collect information from anyone under 16.

12. Changes to this policy

We may update this policy. The date at the top shows when it last changed. If we change how we use personal information in a material way, we will say so on this page before the change takes effect.
